Connect Your ERP
Agave Expense Management reads reference data out of your ERP, such as vendors, jobs, cost codes, and GL accounts, and writes finished expenses back into it. Before either can happen, your ERP needs to be configured to let Agave in.
This guide is for whoever administers Expense Management for your company, working with whoever administers your ERP. You do this once.
This guide covers:
- What ERP setup involves, whatever your system
- Where to find the guide for your ERP
What the setup involves
Every ERP needs some combination of three things:
- Network access. Agave connects from a fixed set of IP addresses, or through the Agave Connector for systems that sit behind your network rather than in the cloud. Cloud ERPs usually need nothing here.
- A user or credential for Agave. Most systems need a dedicated integration user, so Agave's activity is distinguishable from a person's.
- Permissions on that user. This varies most. Expense Management reads and writes a different set of records than Agave's other products, so what it needs is not always what an existing connection already has.
If you already use Agave
Many companies come to Expense Management already running Agave ERP Sync, AP Automation, or both. Where that is true, most of the setup is already done and the remaining work is narrow: usually widening permissions on a connection that already exists, occasionally adding a second user.
What carries over depends entirely on the ERP, so each guide below states it. Look for the Expense Management notes on your ERP's page, which mark the places where Expense Management needs more than the other products.
If you are not sure which Agave products your company already uses, ask your Agave Account Manager before starting. Setting up a connection that duplicates an existing one is harder to unpick than getting it right the first time.
