QuickBooks Online Authentication
QuickBooks Online connects to Agave through OAuth, so there is no integration user to create and no network configuration to do. This guide covers connecting the two, plus the QuickBooks Online settings that need to be on before records can be coded the way your team expects.
This guide is for your QuickBooks Online administrator. You only need it once, when Expense Management and/or AP Automation are first connected.
This guide covers:
- Who is allowed to approve the connection
- Turning on the QuickBooks Online settings Agave relies on
- Connecting and confirming the connection
Before you start
The person connecting must hold the Administrator or Accountant role in QuickBooks Online. Those are the only two roles QuickBooks Online allows to approve third-party app access, so a standard user cannot complete this even with every other permission.
If you already use Agave
Expense Management and AP Automation reuse the QuickBooks Online authorization your existing Agave connection already has. There is nothing to reconnect and no second app to approve.
If that describes you, skip Step 2 and Step 3. Step 1 still applies, because the settings below are about how your team codes records rather than about the connection.
Step 1: Turn on the QuickBooks Online settings you need
Agave writes to fields that QuickBooks Online hides unless the matching setting is enabled. Turn on the ones your team codes with before connecting, otherwise the fields will not be there to write to.
| If your team codes by | Turn on in QuickBooks Online |
|---|---|
| Location, for example the state a purchase happened in | Location tracking |
| Class, for example an expense category | Class tracking |
| Job or project | Projects, or customers with sub-jobs |
QuickBooks Online calls the field Location, and Agave writes the selected value into it. If your team thinks of this as a division or a region rather than a location, it is still the same field.
Step 2: Connect QuickBooks Online
- In Agave, open the QuickBooks Online connection and click Log in with QuickBooks Online.
- Sign in with your QuickBooks Online credentials if you are not already signed in.
- Click Connect to install the Agave application.
- Complete or skip the optional survey.
Step 3: Confirm the connection
Open the Apps page in QuickBooks Online and confirm Agave is listed with a green checkmark. Nothing else needs configuring once it appears there.
